Registration - The right approach?

Hi All,

I read through almost all the documents. However, I thought of asking the community for the right approach.

My Requirement:

  • We have church spread across the country.
  • I have setup each church as a Campus and has groups for each church, which are Group Synced based on the Campus.
  • We have an annual convention of our believers, where members from all campuses come together.
  • Require a sign up form, which can be accessed only by Logged In Users.
  • In the Form, the logged in person should be able to select, which all members of his/her family is attending the convention.
  • Based on the answers, like, Transportation Mode, if Flight, they need a section to enter flight details, others not required. Similarly, a set of questions about what all ministry can they be a part of, etc
  • Campus of the person should be Auto-Populated
  • Once the form is submitted, it should go to the Leader of the Campus, where that family belongs to.
  • Once the Campus leader has approved, they should be added to a Group, for that year's Convention.

What is the right approach?

  • Workflow form? (How to populate the Family Members as selectable? )
  • Group Registration?
  • Event Registration?

    A couple tidbits to begin:

    First, Event Registration /is/ Group Registration... however as alluded above it adds the ability to collect fees and payments, and it also comes out-of-the-box with the ability to add family members.

    If your approach is to have your registrants sign up themselves and their spouses, then Group Registrations is fine.  If you need to have them sign up children as well, then Event Registrations has an advantage.  To contract, the group registrations comes baked-in with geographic choices... hence for a church to get their congregation signed up for small groups based on geography, Group Registrations has the advantage.

    What is unclear to me is it sounds like you need two systems: one to handle these requirements:

    • We have church spread across the country.

    ...and another system to handle these requirements:

    If that's the case, then the first set of requirements is best handled with the Group Registrations (and related toolbox) to manage each Campus' groups, and the second set of requirements is probably best handled with Event Registrations to handle the single event/location.  This event can, in turn, kick off Workflows for various notifications.

    Howdy!

    Do you need to accept payments?  I ask because Event Registrations /are/ Group Registrations, however the "big" addition is the ability to charge a fee.

    No, absolutely no payments involved at all. Thank you.

    Thank you, Jeremy, for jumping in quickly.

    Let me be precise:

    1. Ability to Register Self, Spouse, children or anyone / all in the Family.
    2. No Fees / payments involved.
    3. You split all my points into 2 categories and specified, it as 2 systems. Apologies that, I wasn't clearer.
      • The first 2 steps are already setup. (Campus and families added to Groups dependent on Campus).
      • Step 3 onward, (We have an annual), is my Requirement.

    Since you have suggested "probably best handled with Event Registrations to handle the single event/location. This event can, in turn, kick off Workflows for various notifications.", let me try this. Thank you so much.

    I read through the documentation on Event & Calendar.

    Now, one question:

    How can a person de-register himself or his family members from an even Registration?

    How can a person change the Registration details?

      I don't believe de-registration is possible as a self-service option. Although, it's a good idea to add to the black book of ideas here: https://www.rockrms.com/Rock/Ideas

      Since your event is free (no payment required) the default setting will need to be adjusted on your site:



      1. login and go to the "My Account" page on the external site;

      2. Click "Block Configuration" to the lower right of your browser window;

      3. Find the "Recent Registrations" block, and set "Limit to registrations where money is still owed" to "No";

      4. See if that gets you what you are after.
