Data View filter not capturing correct grades for students

We run a data for communications to students and parents for youth group. We noticed that new 7th graders and their parents were not getting communications and see that the data view incorrectly omits them from the list even though these students have the correct grade and graduation date on their profiles. In addition, the graduating seniors who now show as graduated are included in the data view even though they shouldn't, as they are no longer seniors. 

Any idea where I can go to troubleshoot this? Thanks for your help!

    Hi Joanne.

    Not sure if this is your issue, but we found that the data view filter "grades" does not work correctly (not core Rock)

    so we converted our data views to use multiple "grade" filters

      Thank you. I'll do that, but I was trying to figure out why the other filter didn't work since we've used it for several years and just the fact that it's available means someone will use it down the road not knowing that it's broken.

    Are you using 'graduation year' on the Data View for the filter?

    No, I'm using "grades" and selecting 7th, 8th, freshman, sophomore, junior, and senior.  This worked in previous years. For some reason it's grabbing the same people as before people were promoted to new grades.

    I think grades is calculated (not sure what triggers that to be recalculated), so it can be incorrect.

    The profiles show the correct grades. Where would I look to see how the data view grades calculation is made? I think thstust Be where the error is but I don't know how to find that calculation.

    @Joanne - this is interesting! Are you willing to post a screenshot of the Data View's settings? Also, which version of RockRMS are  you using?

    I wonder if the data view you're referring to is set to "persist"... which means it will not recalculate the results as often and therefore the results are stale...?

    Here is a screen shot of the data view. We're using version 16.6. The data view doesn't appear to be set to persist. Any thoughts?

    Thank you for confirming that, Joanne - indeed, it's not persisted.

    I am at a loss regarding the source of the "Grades" filter. I'm guessing that's custom filter by a third party - do you know where that came from?
    My theory is that it worked up until an update to Rock caused this third party filter to stop working. I'm sure it's fixable, though @CarrieWhite described a solid workaround using Core functionality, and the one-time fix may be all you need.

    Thank you all for the help. I assumed that the grades filter was an out of the box calculation. It may have been added by our consultant when we implemented Rock RMS and as you suggested, the solution offered by @CarrieWhite works. I'm not sure how to fix or eliminate a filter. Is that something that a non-coder can do?

    Very welcome, Joanne - we'll get it figured out together.
    The ideal scenario is that the DV Filter is fixed - if you are willing/able to list any "Installed Plugins" you have on your Rock Instance, I can try to do a little investigating so that you can send the note(s) to the original developer. If there are other filters that were part of the package, we want to know so that they can be fixed or at least worked around.

    It *is* possible to hide the filter in the meantime:

    1. First, ensure all data views using this "Grades" filter are updated accordingly. Double and Triple Check. Then check again! If this step is skipped, you may lose the ability to fix the DVs in the future... at least until security is adjusted.
    2. Navigate to Rock -> Admin -> Settings -> Data Filters
    3. Look for the little "Filter" option at the top of the grid. Enter "Grade" in the Name filter and Apply
    4. You will see at least TWO entries: one "Grade" and the other "Grades" - the one you need to edit is Grades 
    5. Click the lock and set security. **Be Careful** You have options, but to hide it for everyone you can Add "All Users" Role and then set "Deny". (Note, this does not prevent you from updating security at a later date from this same page.)
    6. Verify the filter is no longer present by creating a new Data View.

    Jeremy,

    Hiding the filter is a good alternative.  I did contact the Rock partner to let them know of this issue when we discovered it.

    I'm working on changing the filters for all of our youth and kids data views. Here is a screenshot of our plugins. I don't know which would have added this filter or if it was added some other way. Screenshot_2025-09-11_at_9.05.35 AM.png
